Guidelines for Symposium Moderators for Live Sessions at 240th ECS Meeting Live Session Duration is 2 hours Maximum First of all, thank you for supporting the 240thECS Meeting by chairing a live session. You are fulfilling a task that is crucial to the success of this online meeting in these challenging times. We has 5-22 parallel sessions between the two timeslots per day. Please adhere to the following guidelines: In advance of the Meeting: • In advance of the session, watch your presenter’s videos, or at least read each abstract, so you are familiar with the presenters work. • Do a brief introduction of the Invited Speaker(s) only. • Moderators should communicate via e-mail to contributing speakers to remind them of the session in advance and on the day of the session. • Moderators should send instructions to all participants via e-mail so they are aware of the format and gives them opportunity to ask questions for clarification. • Inform each speaker of their allotted time for their live presentation. During the Session: • Moderators should enter the zoom room at least 20 minutes before the start of session and check connections, video and audio for each of the presenters. The link will be provided to you closer to the event. • The main moderator should make a brief general introduction before the first speakers begins. During this, please ask participants to utilize the chat function and put their questions there – making sure they add who the speaker they are trying to reach is. Most questions will be answered during the discussion, or the speaker can answer them directly in the chat when they are able. • Please enforce speaking times strictly. If speakers do not keep to their time the session will run over the time of two hours. • In the case that a speaker for your session does not show up, please continue to the next speaker. If later in the session when you reach the discussion time – ask if that speaker was able to join and can give a short talk. • Discussion time will be based on the amount of time you have after the final talk concludes. If you do not need to use the entire timeslot, you may end early. • Session co-moderators should monitor the questions for the invited speaker(s) in this session, collect questions from the chat. • During discussion moderators should have a list of questions ready on the topic of the symposium. At the Conclusion of the Session • Thank the speakers/ any sponsors of your symposium for their participation and conclude the session. Remind attendees of upcoming meeting events.
