As I write this, it is clear that we are truly back! Bruges last year proved how thirsty we are to connect, learn and network. Current registrations for Malta are very encouraging. We are up to 232 member delegates from 44 countries and 308 partnering delegates from 57 countries.

It has been a very busy time for all as we continue to struggle with the robust return to business. Staffing is still a challenge faced by many. Our world has changed, and we have changed with it demonstrating our resilience, determination, and flexibility.

You will see in our Congress format this year that we have taken to heart the suggestions provided by our members at the Future of IELA session last year. More member networking, reduced content, more Working Group time. The points raised in the Bruges session were used by the Board as our road map for the past year. We are looking forward to updating you and receiving your new suggestions and requests in Malta.

Net Carbon Zero has been a major part of our efforts this year. As the leader of the UFI/JMIC Net Carbon Zero Events Logistics Workstream, IELA has been placed at the forefront of the initiative and I am very grateful to our contributing members and our newly formed Sustainability Working Group.

In tandem with our UFI/JMIC efforts on sustainability, we have been working with a Sustainability Consultant ISLA to create a programme for our members to either start or continue the Sustainability In some areas of the world, this is currently a very hot topic. In others, it is barely in its infancy. It is an area we will all have to focus on in the future, and so it is our goal to provide our members with a very high level of support in this process.

Our other major accomplishment this year has been the creation of the IELA Academy. This is a new education programme for our members on the tradeshow logistics industry. It has been literally years in the making and we are very excited to introduce it to you in Malta.

We are excited as well to present to you two other new member benefits in Malta. A Payment System and Mediation Programme for members. We are constantly striving to ensure that our association offers our members the most valued advantages.

Our association depends on the efforts of our Working Groups, made up of members volunteering their time and knowledge to make us better and stronger. So I will ask two things of our delegates in Malta. First, please take the time to thank the warrior volunteers of our working groups. And secondly, please consider joining a Working Group yourself if you haven’t already. The rewards of participating are many: new acquaintances, increased knowledge and involvement in the development and evolution of our organisation.

Speaking of volunteers, I want to thank our Board of Management members for their time and dedication to IELA. During the pandemic, we started having regular (monthly) meetings via zoom. We have continued this post pandemic and have found that it makes the running of the association much more manageable. It does, however, require a greater amount of time. This current team is energized and motivated. Their efforts cannot go unmentioned. Thank you to Bas, Daniel, Lucien, Sudhir, Alexandra, Orphee, and Jasmine. A great team.

The Secretariat makes it all happen behind the scenes. So, as you enjoy Malta, the Keynote Speaker, the content, the dinners and of course the day out, please remember that behind it all is Elizabeth and her team!

After 35 years of success in exhibition logistics, we are well known in the exhibition industry. We participated in most of the IELA-partnering events since the concept exists and have very close relationships to IELA-members. This led us to make the decision to now join IELA.

BTG SUISSE AT CIMT 2023, BEIJING

Only a couple of weeks after China’s re-opening to international travellers the CIMT 2023 exhibition was held at the NCIEC in Beijing. The team of BTG Suisse Ltd. was thrilled to be back in Beijing for this important machine tool gathering in China’s capital.

THE 2023 CHINA INTERNATIONAL MACHINE TOOL EXHIBITION

The 2023 China International Machine Tool Exhibition has been held at the China International Exhibition Center in Beijing from April 10th - 15th, 2023. The exhibition area of this machine tool exhibition was 140,000 square metres, bringing together 1,650 exhibitors from all countries and regions around the world.

The visitor numbers exceeded 120,000. As the Official Freight Forwarder of CIMT2023, China International Exhibition

Teknofest is Turkey’s largest aerospace engineering and technology festival. The organisers are the Turkish Technology Team, the Ministry of Digital Development and Transport of the Republic of Azerbaijan and the Ministry of Industry and Technology of the Republic of Turkey.

EF-GSM SOUTH AFRICA OFFICIAL FREIGHT FORWARDER FOR ENLIT AFRICA

As the Official Freight Forwarder for ENLIT AFRICA 2023, EF- GSM South Africa began building up on Saturday, May 13th in 4 halls at the Cape Town International Convention Centre. The show ran from May 16th – 18th 2023.

This event took place at a time when South Africa’s energy is in crisis. The event brought together 180 expert speakers, 250 exhibitors

This year, the Taipei International Machine Tool Show hit new records and Eurotran Expo Service Co., Ltd. was designated as the official on-site operations partner. Considering that this year’s exhibition was located simultaneously in two large exhibition halls as well as the considerable number of machines, the huge volume and the variety of projects, it was a highly difficult assignment.

WEB SUMMIT RIO 2023

The first edition of Web Summit Rio was a huge success. There were more than 21,000 attendees from 91 countries, 974 start-ups, 506 investors and 173 event partners

In addition to these very positive statistics, the Web Summit was for the first time in a country outside of Europe which is undoubtedly impressive.

HANSA-MESSE OFFICIAL FREIGHT FORWARDER OF THE GERMAN PAVILION AT GULFOOD

Hansa-Messe-Speed GmbH was nominated the Official Freight Forwarder for the German pavilion at Gulfood 2023 in Dubai. On the occasion of TuttoFood 2023, Fiera Milano welcomed the artwork “Eppure, il sole splende ancora / L’isola che c’era!”, created by the Italian artist Rosario Scrivano, entirely made with plastic bottles (about 14,000) recovered in the course of 4 years, directly by the artist.

ISHIKAWA-GUMI HANDLES ANIME SHIPMENT TO SAUDI ARABIA

Ishikawa-Gumi Ltd was responsible for the handling of over 80 tons of air freight for the Saudi Anime Expo event as part of the Riyadh Season in Saudi Arabia.

It was tough work due to the facility being still under construction and the road not yet having been paved but the work was accomplished splendidly.

Everyone at Ishikawa-Gumi are happy that so many people in Saudi Arabia were able to enjoy the event. t

OTIM HANDLED THREE HELICOPTERS TO SHENZHEN

OTIM SpA recently handled the airfreight shipment of 3 Helicopters to Shenzhen, China.

Considering that no cargo aircraft service is available from Europe to Shenzhen, the helicopters were routed by cargo aircraft from Italy to Shanghai and moved by truck to the final destination.

The whole operation was supervised step-by-step by skilled OTIM colleagues and went perfectly well and smoothly and the cargo was delivered safely! t

FREIGHTWORKS RENAMES AS DNATA LOGISTICS

The company legal name will remain Dubai Express LLC but Freightworks is rebranding to dnata logistics “Freightworks will cease to exist” announced Sean Bradley, Managing Director, last February 27th 2023.

Dubai Express LLC was formed in 1976 and worked with the Kanoo family for many years, becoming wholly owned by the Emirates Group in February 2019. The brand name of Freightworks was chosen in 1999 and now

transitions to dnata logistics to reflect the new ownership.

All contracts signed with relevant parties under the Freightworks brand remain valid until its expiration date. Amendment under the new brand name will be made on renewal.

IN MEMORY OF JEAN-PAUL MOSER | 30/12/1935 - 16/03/2023

Jean-Paul Moser

Jean-Paul Moser was one of the seven people at the first preliminary meeting to create IELA, held in Geneva. He was IELA’s last original founding member.

He organised the 1st IELA Congress in 1986, as well as the 10th Congress in 1996 in Montreux, Switzerland.

In 2006, he organised the 1st Seniors Club gathering, also in Montreux, and remained treasurer of the Seniors Club until 2020.

Jean-Paul was a warmhearted, friendly, always positive, good living person. A wine expert & lover, taking care of his own vineyards.

Jean-Paul‘s imprint within IELA will be remembered.

Jean-Paul was interviewed by IELA for the special edition of the magazine about the 35th anniversary of IELA, in Spring 2020.

When asked about his memories of when IELA was created, he explained “After lively discussions on several points such as rules, regulations, targets, name, etc., we agreed to meet together again on March 6th 1985 in Geneva and so IELA was born. For all of us it was an emotional day and we felt that we were at the beginning of a great deal. Today’s result certainly exceeded our greatest dreams.”

“A small anecdote: for the dinner following the constituent assembly, I was in charge to order the wine. By chance my choice suited all the participants and therefore I was appointed by Ernie Droessart as IELA WINE WAITER for life.”

We also asked him about the organisation side during its first years and he answered “The first year was a “community life apprenticeship” our leaders did almost all the job and step by step, the «house» was built. New members continuously added to the numbers and were admitted under the basic edicted rule: QUALITY BUT NOT QUANTITY.”

He also was asked about what were the expectations for growth back then at its creation and he explained that “It was not without any strong turbulences but in the end, IELA SPIRIT won.” t

The 16th annual gathering of the IELA Seniors Club took place in Porto, Portugal April 27th - 30th

Porto and its baroque art style entices the IELA Seniors Club

The event began with a casual welcoming reception atop the Neya Hotel with a breathtaking view of the Douro River. The next morning there was a visit to the Livaria Lello in central Porto, one of the most beautiful bookstores in the world with its majestic crimson spiral staircase, floor-to-ceiling bookcases and stained-glass skylight. Rumours say it gave inspiration for Hogwarts in the Harry Potter series.

Our walking tour went through the historic centre of Porto with delightful cobblestone laneways and historic buildings. The striking architecture of the Church and Tower of Clerigos makes it the city’s most recognizable landmark. We didn’t even try the tower’s 230 narrow steps! We made our way to the Sao Bento train station and Mercado, the city’s fresh market with local specialties to end the day with a visit to Cave Ferreira wine cellar and a wine tasting.

The programme continued on Saturday with a visit to Quinto do Seixo - Sandeman vineyard. Wonderful photos could be taken of the terraced winery landscapes and the river valley region. We had a guided wine tour and lunch was enjoyed at the riverside in a local restaurant for traditional Portuguese cuisine, accompanied by our warmhearted guide, Ms. Anna Maria Pereira.

Of course, a Seniors Club gathering would not be complete without enjoying local fine dining experiences. This included Chez La Pin featuring tasty Portuguese dishes and lots of laughs followed by the Restaurant Guarany, a contemporary fine Mediterranean cuisine café with a musical ambiance and highlighted by two paintings by Graca Morais.

The 2024 destination for the Seniors Club will be Athens on April 18th - 22nd 2024.

Candidates to BOM Elections

Sudhir Dhavan

Sudhir Dhavan is a Science graduate from the University of Pune with a Diploma in Business Management.

Furthermore, he has an UFI EMD and the IAEE CEM. He joined RE Rogers India in April 2010 as their Country Head Sales & Operation and was promoted to Chief Executive Officer within a few years.

With over 27 years’ experience in the Exhibition & Logistics Industry, Sudhir has made a name for himself in marketing and business development planning. As CEO, he has built a team of dedicated professionals, each capable of enhancing the customer base of the company on an all India basis.

He has contributed to IELA by being lecturer, mentor at the Winter Seminar and Operations Summit. He has been Chair of the Education and Training Working Group since 2020. During his tenure he has successfully been part of the Winter Seminar 2021, Operation Summit 2022 & physical Winter Seminar 2023 in Cape Town.

He has been on the IELA BOM since 2021 & is a winner of the Face of IELA award in 2021. t

Dirk Urra

Dirk Urra has been an active member of IELA for several years. Throughout his career in the exhibition and event industry, he has gained valuable experience and a deep understanding of the challenges and opportunities that our industry faces. He feels that he can contribute to the growth and success of our association.

As a member of the BOM, his primary focus will be to support collaboration and innovation by creating a supportive environment to encourage the exchange of ideas, best practices and industry advancements. He believes that by maintaining strong partnerships and embracing new technologies, we can enhance the efficiency and effectiveness of our operations, ultimately benefiting all stakeholders involved.

Additionally, he will advocate for continual professional development for members by promoting educational initiatives and training programmes to ensure their long-term success in this dynamic business.

He asks for your support in this election so that together we can shape the future for IELA. t

Bas Wiendels

Bas Wiendels is an energetic Dutchman and a well-educated international event - and exhibition specialist. He founded Valverde 17 years ago and is appreciated for his experience of over 25 years & his professionalism.

IELA has played a prominent role for Bas in his work. His first IELA Congress in 2000 was held in Edinburgh. He showed his determination and commitment in promoting the IELA Congress 2014 in Amsterdam. Bas hosted the stage for a dynamic forum discussion and he put a lot of creativity into the event to make a memorable event.

Bas has been a Board Member of the Dutch Exhibition Association (CLC/VECTA) for more than 5 years. He knows the drill of being on a Board of Management and taking responsibility, especially shown during the Pandemic.

Bas is a believer in young talent and their contribution in our industry. He is a host speaker at the Amsterdam and Tilburg University of Applied Science teaching young talent the “do’s and don’ts” in our business. He enjoys sharing his passion and passes on his knowledge to next generations in our industry. t

Full day programme: Visit the Majestic Capital City, Valletta! Enjoy a tour around the pictoresque streets of Valletta while visiting two of the ‘must do’ places Upper Barracca Gardens, where you will enjoy a spectacular view of the Grand Harbour, and The St John Co Cathedral, where you will also get the chance to see one of Caravaggio’s most famous paintings!

After that, the group will head towards Suq tal Belt (translated to Valletta’s Market) for some refreshments with Malta’s top gastronomical delicacies, and why not, perhaps a pint of local beer or a glass of Maltese wine.

After experiencing the beauty of the Capital City and enjoying some local nibbles, the companions will make their way to the traditional Maltese dghajsa (small boat) for a short Harbour boat tour, and then transport them to the Glorious 3 Cities!

We will do a tour around Comino in a speedboat, passing by the crystal-clear waters of the famous Blue Lagoon, before we head off to the stunning island of Gozo, known for its historical landmarks, stunning scenery and vibrant culture.

By groups of 4-6 people we will hop aboard tuk tuks and jeeps to start the iPad challenge to enjoy the local rich history (interactive map [with geolocation] to get to hotspot locations, answer all the questions and perform all the required tasks).

The teams will take creative photos and videos with the same iPad to overcome the challenge before we have lunch together at the Country Terrace Restaurant. Return to the Hilton hotel will be organised after lunch. t

IELA partners with to deliver training and inspiration to fuel members’ journey to Net Zero

Through a series of ISLA webinars and roundtables IELA aims to empower your company with the confidence and knowledge to begin building sustainability into your daily practices.

Last year, IELA was chosen to lead the UFI/JMIC Net Carbon Zero Events Logistics Workstream, an honour and a reflection of our importance in the industry.

IELA has been placed at the forefront of the NZCE initiative and we are very grateful to our contributing members and our newly formed IELA Sustainability Working Group.

In tandem with our UFI/JMIC efforts on sustainability, we have been working over the past 3 months with ISLA, a non-profit organisation devoted to accelerating the event industry transition to a sustainable future.

The cooperation with this year had one main objective: to provide our members with a very high level of support in this process. We started an awareness campaign to create a programme for our members to either start or continue the Sustainability Journey. In some areas of the world, this is currently a very hot topic. In others, it is barely in its infancy.

We believe that we as an association are a catalyst for change. In Malta, we will have the chance to have with us during the General Assembly to discuss the topic together with you and all IELA Working Groups, the pulsing heart of IELA.

1 What is Net Zero?

• This 90% reduction is by 2050 at the latest.

• This 90% reduction needs to take into account the entire supply chain, this means measuring and reducing emissions from all 3 scopes.

• Reductions are in comparison to your baseline year, e.g. 2022/2023.

What commitment to Net Zero Carbon means:

• Before the end of 2023, publish the organization’s pathway to achieve Net Zero.

• Collaborate with partners, suppliers and customers to drive change across the value chain.

The Future of Part 2

UPDATE ON THE PROGRESS OF THE SUBJECTS IDENTIFIED IN BRUGES JUNE 2022

In Bruges last year we held a session about the Future of IELA . This was based on the question of what is the future of our industry and/or where are we going to be! We all suffered the pandemic and were all forced to rethink our Company, our work but also our life! A lot of changes followed where people thought differently about their work and life balance. It is now also about what people expect from an association like IELA. Speaking short term, there is the focus on what is in it for me, often driven by the necessity of earning money or maintaining the cash flow. In the long term this changes but we as a board are also not sure when identifying expectations. Wanting to know just this, we asked you last year about what you expect from our association in the Future and what do you want back!

This might be seen as being a weak step by the Board to ask members for their input, maybe even naïve and not necessary to discuss within IELA. Maybe there are complaints at the bar…

Putting this all aside, in Bruges we registered a variety of short term benefits raised as topics or wishes. We look forward to our session in Malta where we hope to discuss more deeply the subject with long-term horizons. Regardless of the outcome of the Bruges sessions, the Board will consider each and every subject in depth.

We have completed our Dispute and Mediation Programme and put a procedure in place to accommodate this.

Payment System

As a long term wish, discussion is programmed on the agenda of Malta 2023.

IELA Academy

Existing talent amongst our members has the right to be trained and develop further. In addition to the Operations Summit and Winter Seminar, this year we have put into place the beginnings of the IELA Academy.

New Member Recruitment and Standards

Since the beginning of the Pandemic we have lost a few members. In our efforts to regain members, we hope to find new members and have developed a more standardised and faster procedure.

White Spot Countries as target

We have focused on White Spot countries and the positive results will be presented in Malta.

Examination process of new applicants is being strengthened

The Examination is already strict. There will be more focus on this and the challenges faced with the membership in general.

Consistency in the enforcement of member criteria

The Board has begun discussing an annual review of members which could become part of our future. This will be one of the topics of our session in Malta.

Welcome to the 10th IELA Partnering Event!

We are excited to welcome you on the Beautiful Island of Malta. For some it’s well-known as a holiday resort but you need to know more about its history over more than 5.000 years to understand how the Maltese language originates from 3 different languages. This makes it the perfect place to meet and to build on our network and open doors to a new Future!

Following the IELA General Assembly in Barcelona in 2012 we added 2 extra days to the event for meeting non-IELA members also active in the Exhibition Logistics Industry. This year is the 10th anniversary of this Partnering Event.

It is not a secret that we have lost members during the Pandemic but we still exist!

Following the encouraging participation at our General Assembly last year, we are now back to where we want to be. Partnering plays a crucial role in this as the perfect place to meet new contacts and develop them into new members.

IELA is on the move with more commitment than ever towards our future by involving other Global Associations. The industry has set a Net Zero Carbon Future but to reach that Future the focus is very much on us. We have to come up with ideas, we have to develop a more sustainable footprint. We have to set steps. It must be explained that this will not happen overnight and that change will not be taking place at the same speed everywhere, but these changes create the perfect opportunity to become a sustainable partner in this Future.

So feel welcome, meet old friends who you might not have seen for a few years and be open for the opportunity to make new friends and brighten your network. IELA is giving you the opportunity to open doors to a new future…

DEFENCE is a key industry within the exhibition world and a speciality when it comes to forwarding and handling the exhibits.

In this dossier, IELA Members are sharing their expertise on DEFENCE LOGISTICS and highlight several events.

INDUSTRY OUTLOOK

• The Defence exhibition industry combines more than 100 defence shows globally, about 50 yearly of varying sizes.

• 99% of shows take place once every 2 years with 3 types of focus areas: air, land and sea forces. Combining all types is referred to as “interoperability”.

• Certain shows combine one or more areas, the biggest global shows being Eurosatory and IDEX/NAVDEX with the emergence of the World Defence Show.

• For countries which are manufacturers (France, US, Germany etc.), the defence market is very international, with no local supply chain entities. This means that goods must systematically return to the country of origin.

• Following COVID-19, most shows took place on very different dates compared to previous editions. In 2023, the calendar is primarily back to normal.

• Many technical considerations create a barrier to entry that not every forwarder can handle such as export/import licenses and EUC (end-user certificates).

• Maritime freight has become more difficult post-pandemic with numerous maritime companies refusing to handle defence and military cargo.

• Defence exhibitions are premium events where the stakes are high and involving many actors (States, companies etc.). These events serve as platforms for major announcements such as new products or contracts which took months to be negotiated. t

FROM SOUTH AFRICA

AFRICA AEROSPACE & DEFENCE (AAD) 2022 BY

AAD 2022 was held in the beautiful country of South Africa from September 21st25th 2022, gathering 203 exhibitors from 24 countries with 9 national pavilions and welcoming 23.043 trade visitors and over 50.000 public visitors from 76 countries. The 12th edition ADD2024 is set to take place at the Air Force Base Waterkloof, in the city of Tshwanew from September 18th - 22nd 2024.

BIG Logistics India Pvt Ltd was on-site as the Official Freight Forwarder appointed from India for ADD 2022. A total of 7 exhibitors participated and the company handled around 9 tons of air-freight on returnable basis.

Shipping live arms & ammunition plus other DG Goods, coupled with the paucity of time, made this job a challenging affair.

Apart from AAD the team of BIG Logistics India was present on-site for 7 Defence Shows in the year 2022-23 serving Indian Defence manufacturers including: IDEX, DSA, ADAS, etc. t

FARNBOROUGH INTERNATIONAL AIR SHOW BY CEVA

The Farnborough International Air Show is one of the highlights in the Defence calendar. Over 1500 exhibitors representing 96 countries biannually descend on the Farnborough Aerodrome. The site is a working airport, 310 hectares in size and provides both permanent and temporary exhibit space. Two significant challenges exist: firstly, the range of sensitive and controlled cargo requiring a highly skilled team to diligently process high volumes of complex paperwork to ensure import and export compliance is met. Secondly, the most noticeable challenge is simply the volume of delivery vehicles arriving onsite.

CEVA Showfreight UK manages the site traffic, builds valuable onsite advanced warehousing and uses an array of IT systems and apps to increase traffic flow and reduce congestion. t

DSEI UK

DSEI, a biennial event, located at ExCeL London, connects the global defence community. The next edition will take place from September 12th - 15th 2023. DSEI 2023 is expected to be back to pre-pandemic levels and on track to be the biggest DSEI yet! DSEI and DSEI Connect 2023 plan to showcase over 1,000 defence and security suppliers – including all the major prime manufacturers plus more than 100 new exhibitors.

DSV Solutions Fairs & Events team provides specialised handling, customs, scheduling & traffic management services. As well as handling aircraft, military ground vehicles and other large-scale exhibits, their specialised crane services also include lifting numerous vessels into and out of the waterborne demonstration area.

The World Defense Show in Saudi Arabia demonstrated effective management of substantial shipment volumes, emphasizing the intricacies of defence logistics.

The logistical achievement at the World Defense Show highlighted the complexities of defence operations. DSV’s role as a trusted partner, official freight and site handling agent ensured the smooth flow of goods, significantly contributing to the event’s success.

Meticulous planning and specialized equipment facilitated the movement of numerous shipments across various transportation modes, ensuring timely delivery and precise placement within the 800,000 square metre venue.

DSV used innovative tracking systems and expertise in handling sensitive and oversized cargo to ensure the efficiency of operations throughout the logistics chain. t

FROM ITALY AERONAUTICAL VILLAGE IN PIAZZA DEL POPOLO BY EXPOTRANS S.P.A

Aerospace logistics can be more complex than other industries. The nature of the goods themselves and the locations where the events take place can create several difficulties.

A recent example of such an event managed by Expotrans S.p.A and handled by their partner CEVA LOGISTICS UK is the setting up of the “Aeronautical Village” in Piazza del Popolo, in the historic centre of Rome.

This is part of the celebrations for the centenary of the Italian Air Force (19232023). One task was the night transport of a F35 1:1 scale mock up (the local police of Rome was involved for the armed escort up to Piazza del Popolo) and the installation with forklifts and cranes.

There was also the oversize load of a real firefighter helicopter to take care of which was displayed in Piazza del Popolo for the celebrations. t

The Mexican Aerospace Fair, FAMEX, is a commercial activity of civil, military, security and defence in the aeronautical field whose objective is to bring together the leaders of these sectors to promote commercial exchange and boost the growth of the aerospace industry in Mexico.

ROCK-IT Global Mexico has been designated as the Sole Official Freight Forwarder and OnSite Vendor for the 4th time, having the chance to work hand-in-hand with our IELA Agents in Italy, Greece, USA and Canada.

FROM PERU SITDEF

SITDEF, the International Exhibition of Technology for the Defence and Prevention of Disasters, is the only fair sponsored and organised jointly by the Ministry of Defence and the Armed Forces of Peru, held every two years.

This event took place for the first time in 2007 and ROCK-IT GLOBAL PERU has been Official Freight Forwarder since 2017. Since most of the cargo used for this is controlled, these are three main points to check well in advance:

• National Defence representatives in

charge: to understand the established bureaucratic procedures and the hierarchy of representatives involved.

• Import permits / End-User Certification: timely documentation analysis to apply for permits. Although weapons, armoured vehicles, ammunition, etc. are exempted from permits when consigned to the Army, these are not the only materials presented at the event. Permits must be applied for before other regulatory entities.

• Air / sea freight options: to submit sufficient documentation and safety data to secure spots as well as to check the routes/connections are not restricted for this kind of cargo. t

Indo Defence 2024 will be the 10th edition of Indonesia’s official Tri-Service Defence, Aerospace, Maritime and Security Event. It will take place on November 6th - 9th 2024 at JIExpo Kemayoran, Jakarta, Indonesia.

R.E. Rogers (Malaysia) Sdn Bhd, Malaysia has been the Official Freight Forwarder for this event for 20 years. During the last Indo Defence event in November 2022, they faced issues with changing government policies, new customs officers who didn’t understand the nature of the show and a shortage of customs officers onsite. They overcame these challenges by arranging for a customs team to be onsite 24/7 for five days before the show and delivered everything in time. t

AERO INDIA 2023

Aero India 2023 is a biennial air show and exhibition related to aviation products in Bengaluru, India. The Defence Exhibition Organisation, Ministry of Defence, Govt. of India is the authority conducting this show at Yelakhankha Air Force Station. This massive event has various defence agencies in India participating including Defence Ministry of India, Indian Air Force, Defence Research and Development Organisation (DRDO) etc. and many International Aircraft Manufacturing Companies from UK, US, Israel, France, Sweden, etc.

Since inception R.E. Rogers India Pvt. Ltd. has been the Sole Official Agent & this edition R.E. Rogers handled approx. 100 tonnes of air freight alone. t

DEFEXPO 2022 - ASIA’S LARGEST DEFENCE EVENT

DEFEXPO is India’s flagship exhibition on Land and Naval Defence and Asia’s largest event in the defence sector across an area of 01+ lakh square metres.

Normally held in March 2022, the show was postponed due to logistical problems faced by the participants worldwide and was rescheduled for October 18th - 22nd, 2022. Shipments had already arrived at the venue, customs cleared, MHE & the whole team were ready to deliver shipments to the exhibitors. With the last minute announcement of show postponement, hell broke out with instructions to vacate the venue & Onsite Customs Bonded Premises immediately. R.E. Rogers took necessary action to return the exhibits to their respective destinations in safe & sound condition. They then completed the delivery of the considerable volumes during the new show dates to the exhibitors & organisers. t

A LETTER FROM USA TO DEFEXPO 2023 MAKING IT HAPPEN UNDER HIGH PRESSURE AND HIGH ANXIETY

“Working with IELA partners for defencerelated exhibitions is a must. Not only IELA partners, but very well experienced IELA partners can produce great results. For DEFEXPO in India, TWI had a special aircraft mockup being airfreighted to Mumbai and most flights and airlines were very full. Needless to say, our freight was stuck and delayed and in danger of missing the show. By changing the cargo booking to top urgent, we were able to have the 32 cbm airfreight shipment arrive into Mumbai near midnight, 1.5 days before the start of the show. The

freight was very large and spread over 5 airline pallets. Our partners, Rogers India, were able to work with ground handling at the airport and the airline to have the freight made available to us urgently, have all the trucks loaded with drivers to make the 16hour drive direct to the show site, where our clients were anxiously waiting.

Finally, the trucks arrived less than 7 hours before the show started. Our client, TWI and Rogers India, were able to deliver and have the simulator set up before the show.

Many steps had to be taken to ensure that this could happen and when you have IELA members involved, positive results can be created. While we do not like to have this type of high pressure and high anxiety experience, it is great when you can rely on very experienced partners!” t

Following the in-person meeting at the 37th IELA annual congress in June 2022 after a couple of years of pandemic, the Industry Relation Working Group (IRWG) is proud to continue to build the bridges between IELA and all key players of the exhibition industry worldwide (all major associations, show organisers and venues).

Our tasks up to the end of 2023 and 2024 will be:

• To continue to improve the IELA relationship with our International associations and also locally through our Ambassadors.

• To enhance mutual support in the exhibition industry worldwide and close partnerships with IELA.

• To continue presenting IELA Sustainability guidelines to our local associations as well as the IELA net zero carbon project together with ISLA.

On behalf of our existing and new ambassadors in the respective countries, we will continue “together strong” worldwide to share the common goal and mission with our local associations of Sustainability! This topic will remain important in coming decades. We must really start working intensely together to leave a clean planet to the next generation.

As per my proposal and validation by IELA Board of Management on May 16 th 2023, the active and devoted members of the IRWG will be managed as from the incoming IELA Annual Congress in June in Malta by a new chairperson: Kim Valdes with the new vice chairperson: Garcia Newell.

I will continue to be part of the group as a member as well as Go-To Person as member of the IELA Board of Management.

EDUCATION & TRAINING WG

E&TWG had the opportunity to start its Brainstorming session before and during the Bruges congress last year.

The discussion was mainly about the Winter Seminar 2023 which was to be taking place in-person in Cape Town. There were several doubts about attendance as recovery from Covid was not yet fully under control.

But we successfully made it with 31 students from 18 countries!

The topics chosen were based on current scenarios with major emphasis on Sustainability and Packing. Active role playing as exhibitor and forwarder ensured that the student was more confronted with the practical aspects of our Industry.

The formation of groups amongst the students led to practice in presenting what they had learnt. External speakers made it a truly great experience by covering matters such as insurance and marine shipping precautionary measures.

Speaking on behalf of the E&TWG, it was a highly successful in-person Winter Seminar post-Covid.

implemented on the WG platform on the website to attract new and young members to the group.

Our aim now is to deliver the project of an Academy which is a long pending assignment for our working group. We have almost completed our concept and the curriculum is under process.

We are more than confident that this Academy will be of benefit to each participating student in terms of knowledge and standards. The idea is to heighten the skills and readiness of the participants undergoing this course on the market. This degree will be highly recognised in the industry and the students will be fully operational having followed the comprehensive course modules.

More details on the Academy will be revealed post congress regarding fees, international aspects etc. The priorities are now to confirm the concept and the curriculum.

E&TWG is now ready to deliver the next physical Operations Summit 2024 at Kuala Lumpur, Malaysia. More details to follow soon.

There will be a Brainstorming session during the Congress on Malta in order to gather ideas and modifications on possibly new activities in the programme. t

New Chair Generation! INTERVIEW

Why is the E&TWG important to you?

I had the privilege of participating at the IELA Winter Seminar 2006 in Zürich, where I was awarded “Best Student”. Being a youngster in our industry, I gained a lot of knowledge and experience from the old hands during the seminar and met many people from around the globe who I only knew by email until then. 17 years later I still look back positively to this WS and I am happy that I got the chance to join. I would also like to give this opportunity to other members.

Our industry has lost staff during the pandemic and it is important that newcomers are well trained to obtain comprehensive knowledge of our industry. This plays a major role for IELA in providing and delivering high quality service to organisers, exhibitors and exhibition contractors.

What are your objectives as Chairperson?

I would like to continue to deliver a high quality programme for youngsters at the Winter Seminars and for the experienced at the Operations Summit which offer a wealth of benefits to participants.

Furthermore I would love to establish a platform where the staff of our members who are not joining the IELA congresses can meet and exchange online about the topics of their daily work. 15 years ago, the Ops Club was established for a short time, but due to problems on the website, it vanished from the scene. I feel it is important to give all staff the feeling that they are part of the IELA family, even if they cannot all be present at congresses, WS or OS!

What was your personal experience as member of this WG and why would you recommend IELA Members to join?

I joined the IELA E&TWG in summer 2018, was well received and directly part of the team.

We have regular online meetings and the physical one during the Congress, so we all know each other and are always happy when new members join. It is an open-minded team from around the globe which brings new ideas. We discuss a lot with the focus on developing a training benefit for our IELA members.

As a mother of 2, I know how important education is and that training is necessary to improve. It is the basis not only for professional advancement, but also for your personal development.

I can only invite every member to become part of our Working Group to increase ongoing projects and establish new educational programmes for your own staff. What you invest in E&TWG is a benefit for yourself and your team / staff. t

On May 25th the last Membership Working Group meeting took place where the ISLA-IELA cooperation was introduced to the members.

A Draft of the Mediation Programme project was prepared by MWG-Chair

Alessandro Conte (EXPOTRANS Italy) and shared with Vice Chairs Marzena Zawadzka (UNIVERSAL EXPRESS Poland) and Eran Tamir (ICL Israel). This will also be a point for discussion with participants during the meeting before the Board considers it for approval. The official presentation will be in Malta in the form of an additional Members’ benefit to support the resolution of eventual disputes.

Four more New Member applications came in since the last IELA Report Magazine. They were surveyed and reviewed in detail by the Group and are pending the Board decision which may be early enough before the next Congress for eventual approved applicants to sign up as participants and increase even more the number of attendees.

The MWG also registered the input coming from the go-to-person of the Board Sandi Trotter: to target attendees at the Partnering Event from White Spot countries and those where for instance IELA has only one member.

MWG will review the weekly PE participant list available on the IELA website, identify targets and choose a representative from the Group who will schedule a quick meeting in Malta with the designated participant to promote the benefits of becoming a IELA member.

Let’s hope we can encourage a rise in our membership in White Spot countries through these efforts.

Regarding application screening, the MWG survey and the Board decision will protect our standards and the compliance of requirements to welcome new members. t

“Recovery” has been a hot topic post COVID. If the year 2022-2023 did not give us a clear picture, the beginning and near future for 2023-2024 surely has given us a reassurance compared to last year. Rather than “Recovery” we should be using the phrase “Positive Recovery”. The industry is back with a bang, with numbers pushing up for all members of the exhibition industry.

More often than not, Quality & Quantity do not go hand-in-hand. This is majorly because maintaining Quality requires time and effort, which sometimes slows down procedures, risking a loss in business.

Through the Standards and Customs Working Group, IELA tries to ensure that members do not lose sight of Quality because of a rush of exhibitions and events, as no one wants to lose business. It is our duty to set sustainable standards which members can follow, thereby maintaining a uniform level of services, if not better.

During our last meeting we discussed how new methods could be devised which could help members to check the Quality of services they are providing. We felt a need that with changing times we must also keep our parametres (to maintain standards) dynamic.

Apart from the IELA Standards of Performance Survey, we are brainstorming the idea for a new award which can help serve IELA members in getting the recognition they deserve for maintaining or improving their level of service.

The idea will be discussed in detail physically during the Congress in Malta. We would very much appreciate the ideas and suggestions of as many innovative minds as possible! Come and join us and help our members take their service to the next level! t

SUSTAINABILITY WG

The Net Zero Carbon Events Initiative hosted by the Joint Meetings Industry Council (JMIC) aims at connecting the event industry globally to achieve net zero events by 2050 - 27 years from now - and an interim target to reduce global greenhouse gas emissions by 50 per cent by 2030, in 7 years!

Do you remember the premiere of TITANIC? It was 25 years ago! Time flies and in the words of the IELA Chairperson Sandi Trotter “Sustainability is here, it is not going away. We need to be part of the goal by baby steps, and we need to be part of this NOW”

A new IELA Sustainability Working Group was created at the end of last year in response to the need for immediate action, aiming to design the organisation’s pathway to achieve net zero by 2050 at the latest.

JMIC embraced the structure of the sustainability topic in work areas and IELA was chosen to lead the UFI Net Zero Carbon Events Logistics Workstream which includes 7 IELA participating members. The goal of the Logistics Workstream is to drive the change of mindset (the biggest challenge!) by working on the implementation of the necessary procedures and tools. It’s a very hard job as there are so many development areas but the Sustainability WG is enthusiastic to go ahead and to be the engine of this change.

We have been active for a few months now, seeking for the best options in partners who could help IELA members in their path to sustainability, help us to set internal goals on our way to reduce emissions by 90%, to check the progress of all of us and to provide eventually an adequate assistance and tools to start measuring the CO2 emissions.

ISLA, a UK non-profit organisation dedicated to supporting the transition to sustainable events and one of the potential consultants, already organised 3 webinars for the membership, in order to understand whether their idea of the route towards sustainability is compatible with the needs of IELA members. ISLA will also be introduced to all members during the IELA Congress in Malta and present their project to all of us.

SUSTAINABILITY is one of the major topics now, be part of it and join us at the IELA Congress in Malta.
