I hope your 2015 is off to a great start. We are in overdrive at the FSAE office with a full basket of programs including our South FL Power Luncheon in Fort Lauderdale March 25 and Central FL Power Luncheon on May 8 in Tampa. Your professional society is offering 4 times as many educational opportunities as we did a year ago. Please review our website for upcoming events and make sure you participate. Taking advantage of the courses offered (both live and online) is the best way to ensure you are getting value out of your membership. Speaking of online programs, FSAEâ&#x20AC;&#x2122;s Qualified Association Specialist (QAS) Certificate Program continues to be a great educational tool for our Executive members (and a few Associate members as well). In addition to offering it through FSAE, our counterparts in North Carolina, Indiana, South Carolina and Colorado are partnering with us to make it available to their members as well. QAS is going nationwide! Your FSAE staff set aside time in January and February to review all the QAS modules. It was undertaken as a team exercise with everyone watching the videos together. Afterwards we spent time discussing how we can improve our operations and processes. I would encourage you to do this with your office or department to facilitate conversations to make sure your association is compliant with various regulations and is running as smoothly as possible. The bonus is at the end of 12 modules, you will be able to put on your resume that you have completed FSAEâ&#x20AC;&#x2122;s Qualified Association Specialist Program! The Legislature continues its 60 day session in Tallahassee and FSAE is closely following HN 549/SB1114. The proposed legislation would require any membership association whose

6 MAR/APR 2015

membership includes elected or appointed public officers and that receives 25 percent or more of its annual revenue from public funds must file an extensive annual report with the President of the Senate and the Speaker of the House. The bill also prohibits these associations from expending monies received from public funds on litigation against the state. Our Governmental Affairs Committee led by Paul Ledford, CAE has been actively engaged and helping coordinate a coalition of members to make sure there is not a negative impact on associations in Florida. Please review the legislation (as you know, bills go through many changes during their lifespan) and let me know if you would like to be a part of the coalition that is a part of this process. I hope you will take a minute to welcome Kate Cruikshank, M.S. (kate@fsae.org) as our new Education and Events Manager. Kate came to us from the United Way of the Big Bend and we are happy to have her as part of the FSAE team. Lastly, our congratulations go out to Hester Ndoja who welcomed Oliver Mehill Ndoja to our world. Oliver was born on February 18, 2015 weighing 8 lbs, 6 oz. and measuring 19.5 inches. Both Hester and Oliver are healthy and doing well (and we are already counting down to her return in May).

Exciting Times and Envision 2020 BY JANEGALE BOYD

As the title says this is an exciting time for FSAE and our members! There are a wide variety of educational events for all association staff as well as great excitement about the focus for our future! Let me give you some highlights from the recent Board meeting and other events. • The integration of FSAE and TSAE has gone smoothly. The success can be attributed to the commitment by the Task Force, which was made up of leaders from both organizations and led by Eleanor Warmack, CAE. Additionally, a big thank you to the Boards of TSAE and FSAE that were committed to making this work. And of course the TSAE members that saw the value of networking, education and continuing with a professional organization interested in their success as association professionals! • Membership hit an all time high in early February of 986 members! Our new TSAE members put us over the top! Our heartfelt thank you to all that renewed and a warm welcome to the 173 new members! • Statewide education and events – We are excited about launching a new program, the FSAE Leadership Academy in Orlando! FSAE has scheduled statewide Power Lunches and a wide variety of networking roundtables in areas of interest, CEO retreats, CMP study groups, QAS courses and more. Make sure to put the FSAE Annual Conference on your list as a must attend event! The dates are July 15-17, 2015 at the fabulous Renaissance Vinoy Resort in St Petersburg, FL. • Two new Task Forces have been established – They are “Young Professionals Task Force” led by Rachel Luoma, CAE and the “Non-Dues Revenue Task Force” led by Kevin Mayeux, CAE. These are two growth areas identified at the recent Board meeting that we will address. • “Envision 2020” Strategic Planning – Recently 28 strategic partners made up of key influencers from across Florida came together for a session facilitated by Linda Seefeldt, CEO of AIM Above. Participants reviewed results of the member feedback and began work on the vision for the future of FSAE. The goal is “to start with the end in mind” and to decide how to stay relevant, position FSAE for success and be financially viable. FSAE Committees are hard at work. Let me share a few highlights: • Awards Committee, led by Lonny Powell, Chair, has added several new awards for recognition this year: Association of the Year and Supporting Associate Organization of the Year will accompany the Executive of the Year and Associate of the Year. In addition, our Rising Star award will continue to be offered to both an Executive and an Associate Member. Look for upcoming announcements and make sure to nominate deserving colleagues! • Annual Conference Committee led by the dynamic duo of Rachel Luoma, CAE and Richard Miseyko, CMP, CMM has an exciting and educational conference planned. Many thanks to a committed group of volunteers who lead the many committees that plan conference, such as Greg Brooks, Sue Fern, Kristin Marshall, Marsha Kiner, Elaine Carpenter, and Kimball Mathews, as well as the FSAE Team. • Membership Committee - as noted this group has really focused on recruitment and renewal of members! This is the highest membership in over ten years - a 30% increase from year-end 2013 to year-end 2014! Continued Page 24

Yes indeed, I truly believe the “what have you done for me lately” mentality is alive and thriving in business and most aspects of our lives today. There is never a time when we can rest on the laurels of our past achievement and successes. While the FSAE Foundation did some really great things last year and the year before – take a look at our Annual Report – we can’t get caught in the past, and we can’t pat ourselves too much on the back over what we’ve done. We have to work tirelessly to make our mark now, and do it over and over again. Your FSAE Foundation is concentrating on its true purpose, its mission: To support education, research, professional development, publications, and public relations efforts for the association management professional…to that end we are striving to answer our members’ question: What have you done for ME lately? Bright Ideas: Innovation Grants Program

The FSAE Foundation’s Bright Ideas Innovation Grants Program is a pilot program that will provide grants to support innovation development and is one of a number of initiatives designed to raise awareness and engagement in innovation efforts for the association community. In serving as a champion and role model for innovation, this exciting program represents one element in a multiyear effort for the FSAE Foundation to increase the credibility, approachability and culture of innovation in the Florida Association community. What would you do with a Bright Ideas innovation grant? Changing business models is a pressing priority for most associations. But how do you find the resources and support to begin such a project? FSAE wants to help you pursue innovation in your organization. Grant recipients receive funding ranging from $500 - $5,000 ($10,000 total grant funds available) to dive deeper into innovation and get support to implement their project ideas and create models of innovation for the entire association community. Who is eligible for the 2015 Bright Ideas Grants? It’s likely that you are! Bright Ideas Innovation Grants Program are available to creative FSAE members (individual/team/association) interfacing with the association community from all angles of the organizational spectrum. Registration is open and the hard work of numerous committees is coming together to create an incredible opportunity for FSAE members! I’ve asked this year’s CoChairs Rachel Luoma, MS, CAE and Richard Miseyko, CMP, CMM to give readers a sneak-peek to what’s in store for July: Tell me about this year’s annual conference. What’s in store for attendees and what are you most excited about? Rachel Luoma: I am most excited about the education this year. The Education Committee has worked extremely hard and collectively has produced a fantastic lineup. There is something for everyone, no matter their professional position. Attendees can expect great sessions from world class speakers. Beyond the educational sessions, there are so many opportunities for peer to peer learning. FSAE members love to talk about challenges and solutions and help each other build better associations.

Richard Miseyko: Besides the networking opportunities, I am thrilled that it’s happening in my home town. I’ve lived in St. Petersburg since the mid-60’s and watched this city go from its reputation of “green benches” and a retirement mecca to a vibrant and exciting destination. The downtown corridor is alive every night of the week with trendy new restaurants and shops. We’ve got a world-class host hotel with The Renaissance Vinoy and Visit St. Pete/Clearwater supporting what will be an exciting program! What are you most excited about for our members? RL: Probably the value of this conference. I don’t know many associations that offer this much at such a fantastic price! There are over 12 hours of education, four meals and three networking receptions. CEOs can bring their staff at a reduced rate and for the first time ever, FSAE is offering a young professionals rate at conference. Most associations can’t offer all of that at such an economical price. I would be remiss if I didn’t recognize our sponsors and our associate members as they are the reason we are able to

RM: The networking events will be amazing. The Associate Advisory Committee is stepping up to the plate with our Annual VIP Connection Reception at The Dali Museum, Florida’s most popular museum. Not only will there be excellent food & beverage provided, but also private docent tours have been arranged as we have the museum all to ourselves. The Opening Night Reception, hosted by Visit SPC, will be at the adjacent Mahaffey Theater and feature a Taste of Pinellas with area hotels and restaurants providing their specialties for all to enjoy. What does our theme, “Strength Through Collaboration: Building Bridges for Association Professionals” mean to you? How are you most looking forward to seeing that theme manifest in the conference experience? RL: The theme really embodies the FSAE mantra of Connect, Learn and Lead. The theme is about members connecting to further themselves personally and professionally as well as move their associations forward. I‘m excited to see attendees connecting with one another, learning together and taking ideas back to their associations to lead them into the future. That is what the theme is all about - together, as we collaborate we will build a stronger self, association and profession. RM: Strength Through Collaboration is the perfect tone for experiencing the merger of two state associations into one strong voice for the association industry. The benefits for both executive and associate members to be able to focus their energy and resources in one place and in support of one organization provides tremendous value to all our stakeholders. It’s been a long time coming and I’m glad it’s here!

Conference takes a lot of planning. For those of you that don’t know, we have a Conference Committee of 12 members, which consists of the Chairs of the Education, Marketing, Auction, Sponsorship, and VIP committees as well as 3 “at-large” members. All together there are approximately 70 members working to make conference the best experience possible for all attendees. Tell me about co-chairing the conference. What’s your experience been like so far? RL: It has really been a pleasure! The FSAE Chair, Janegale Boyd, picked some fabulous volunteers to serve FSAE! Marsha Kiner, Sue Fern and Greg Brooks have done a wonderful job on education, sponsorship and marketing! Kristin Marshall has some great things planned for the VIP reception and Kimball Matthews and Elaine Carpenter are doing some awesome things with silent auction. Thank goodness for Richard! He has provided such strong leadership as we plan the conference and I am thankful to be able to work with him! I have learned so much from him during our time and I am excited to see our work come together. You know, we do this for our associations every day, but it has a special meaning with FSAE because we know we are building strength for our association and our members. RM: Having filled this role for other organizations, the FSAE process has been remarkably smooth and being able to collaborate with Rachel Luoma made the decision very easy for me. We each have our strengths and it’s a successful partnership. As she so aptly states, we stay in our own lanes for the most part, but both know we can veer over knowing our opinion will be respected. What does it take to plan the FSAE Annual Conference? What all is involved? RL: It takes a village! We have about 70 FSAE members who commit their time to making this event valuable and meaningful for association professionals. Planning the FSAE annual conference is only possible if you have the right people in the right seats on the bus. That is where our committee chairs and volunteers play an important role. I also have to mention the FSAE staff. We have a fabulous staff and they put their hearts and souls into planning and executing this meeting. They work diligently behind the scenes to make sure that our committees are effective in building a strong conference. Continued Page 23

What are you doing to ward off roomblock pirates?

Educating participants and sending cease-and-desist letters to the offenders are the most common responses, but they aren’t By sue hatch the only strategies to keep your official block safe, according to a new white paper by the Convention Industry Council, part of a just-released suite of pirate-fighting resources. The tools were developed by the CIC’s APEX Room Block Poaching Workgroup, co-chaired by MaryAnne Bobrow, CAE, CMP, CMM, CHE, Bobrow Associates Inc., and Michael Dominguez, MGM Resorts International. “We wanted to create a practical and usable toolbox that meeting professionals can use today to help combat the complex issue with a variety of practices,” Dominguez said. Among the resources in the toolkit is a white paper about a 2014 survey of 622 meeting professionals, 73 percent of whom had events targeted by pirates. The paper reports on how poachers are targeting groups—from

misrepresenting themselves as an official rooming source, to selling fraudulent reservations in order to to steal credit card information, to trademark infringement—and it also documents the effects of piracy on the host organization and strategies for responding. The CIC’s new toolkit also includes • a guide to best practices for preventing and responding to piracy and poaching • sample cease and desist letters • sample messaging to exhibitors and sponsors • sample newsletter alert • a link to FAQs on trademark infringement published by the U.S. Patent and Trademark Office • a list of state attorneys general, and more. 10 Tips for avoiding costly I-9 form mistakes For many employees, the words “I-9 Form” conjure up thoughts of the alphabet soup of forms that are processed by human resources: I-9, W-4, W-2, and 1099. Each By kenyetta M. mullins form provides the federal government personal information relative to a specific individual. However, unlike the other forms, which are tax-related, the I-9 Form captures information concerning an employee’s identity and employment authorization. The Immigration Reform and Control Act of 1986 U.S.C. §1324 (“IRCA”) requires an Employment Eligibility Verification Form, better known as the “Form I-9” or “I-9 Form,” to be completed for each employee hired after 1986. Under this federal law, within the first three days of employment, new employees must present documents that glean information concerning their identity and/or employment authorization; and the employer or authorized representative is responsible for examining the documents presented, then completing, signing, and retaining the I-9 Form.

At first glance, the I-9 Form is straightforward and easy to complete. However, ironically, the seemingly simple I-9 Form is often the source of a host of difficulties, including: investigations and litigation concerning discriminatory practices or document abuse; debarment from participating in federal contracts; or criminal and civil penalties. Penalties for substantive violations range from $110 to $1,100 per occurrence. Accordingly, by making a few mistakes with several employee I-9 Forms, an employer can quickly rack up fines well into the six figures. As an illustration, recently, an employer was assessed $227, 251.75 in penalties for its I-9 Form practices, which violated the IRCA1. One of the violations included signing Section 2 of the I-9 Form after reviewing a photocopy – and not the original – employment authorization or identity document for 242 employees. The moral of the story is this: violations of the IRCA can be costly. On the other hand, and perhaps more importantly, mistakes can also be prevented by understanding your obligations as an employer and by following best practices.

MARSAT and FL Bar Feed the Homeless

On January 27, 2015 Marriott International teamed with The Florida Bar to feed the homeless at Big Bend Homeless Coalition on West Pensacola Street in Tallahassee. It was a great pleasure to see all of the smiling faces on both adults and children receiving food from Smoking Lo’s BBQ! They had a great time and felt it was something they needed to do for the community and Tallahassee’s homeless.

Buy FSAE. It Matters. The vast majority of us in the FSAE community are members of this organization for the same reasons. FSAE provides us all three of these by being active participants in the association. The best way each of our members can make our association stronger is very simple. Do business with each other. Buy from other FSAE members, Sell to other FSAE members, and also refer business to other FSAE members. The great news is that many of you are already doing this. Our membership numbers have soared in the past year and we are climbing towards 1,000 total members in FSAE – which means a larger and more robust pool of members for you to do business with. FSAE also wants to help you measure the ROI of your membership which is why the “Buy FSAE: It Matters” campaign was established within the past year. We have

asked our members to submit FSAE member to member business they have awarded, earned, or referred in the last year. We are so fortunate with the depth of talent we have within our membership. Our associates bring their perspective and latest trends from selling and servicing thousands of conferences for their clients, and the executives bring the experience of what they’ve executed for their own organizations’ events. What are you most looking forward to seeing happen from a planning perspective? RL: Now that registration is open, I am most excited to see how our registration numbers progress. Last year we had more executive member attendees and first time attendees in several years. It is one thing to believe you have a fantastic program, but it is another thing for others to believe it. Richard and I are confident that the 2015 Annual Conference is going to be a tremendous event for all association professionals – executives and associates. RM: There’s nothing more rewarding than seeing the initial vision come to fruition. Rachel and I are confident the enthusiasm we feel for the success of a single and unified annual conference for Florida associations will translate to the rest of the membership and blow our attendance out of the water. What do you want to leave our members with regarding the 2015 Annual Conference experience? RL: It is worth the investment! When I started working in associations I had a hard time articulating the value of membership and engagement. However, after attending annual conference and volunteering in FSAE, I was better able to understand what associations can do for their members. 1099 Mistakes Continued These 10 tips will assist you in reducing your association’s risk of running afoul of the IRCA: 1. Complete an I-9 Form for each new employee within the first three days of employment, but not before extending a job offer. Use the most recent version of the I-9 Form, which can be obtained from www.uscis.gov. 2. Do not request documents from Lists A, B, or C, (“List of Acceptable Documents”) prior to extending a job offer. 3. Apply the same practices to each employee. Do not request some documents from certain individuals, but not from others. Stated differently, do not require some employees to present more or different documents than others. 4. Allow all employees to select which documents they wish to present from the List of Acceptable Documents. 5. When physically reviewing a document from the List of Acceptable Documents, be sure to use the original document - not a photocopy. The person who physically reviews the original document must be the same person who completes and signs section 2 of the I-9 Form, attesting to its appearance of authenticity. Do not delegate this duty to another individual, since Section 2 should not be completed by an individual who has not also physically examined the original document. Follow the same protocol reverification and rehires.

6. Review the I-9 Form to ensure that each section is fully and properly completed. 7. Retain the original completed I-9 Form for the greater of (a) either three years after the employee’s start date, or (b) one year after the individual is no longer employed. Make photocopies of List A, B, or C documents and keep them with the completed I-9 Form. 8. Reverify I-9 Forms in a timely fashion, so as to avoid unknowingly continuing to employ an individual who is no longer authorized to work in the United States. 9. Train human resource personnel periodically; and provide written policies and procedures for completing, retaining, and reverifying I-9 Forms. 10. Immediately take steps to correct any errors on I-9 Forms. Only the employee or employer can make corrections to their respective sections. Strike through errors using a pen, and without concealing the original writing; then initial and date the correction. If necessary, complete a new I-9 Form and attach it to the old form, and a note detailing the reason for the correction. Kenyetta M.
