Planning essential for success By Megan Knowles mknowles@kpcmedia.com Planning is essential for a successful meeting or event. “The most common event planning missteps I see are not planning enough time to pull the event together, and not planning enough budget for the event to come together the way it is envisioned,” Andie Hines, owner of Red Tree event planning and marketing company, wrote in an email. “The earlier you can start, the better.” A good plan can help an event stay on budget as well, Hines said. “There are no surprises, vendor fees aren’t at a premium for rush/last-minute items, and you can get creative with fundraising or ways to cut costs if need be,” she wrote. While a timeframe will vary event to event, Hines said her “best-case scenario” planning timeframe is: 1 year in advance — start planning

8-12 months in advance — Select theme and venue 6-8 months in advance — Book entertainment 4-6 months in advance — Menu and décor ordered 4 months in advance — Send save the dates 2 months in advance — Send invitations 1 month in advance — Follow up with vendors Of course, this “doesn’t include any other variables such as setting a budget, fundraising, forming committees, awards and/or speakers, designing and producing marketing materials and timeline for print, web, and social, setup and load out including day before, day of, and day after timelines, post-event thank yous, follow-up surveys, etc.” Hines wrote. “Truly, each and every event is going to be completely unique.”
