Greetings and thank you for requesting a copy of the 2010 -2011 Greater Cincinnati Media Resource Guide; a directory of area media outlets, reporters and best practice advice to aid in the media relations and publicity efforts of your organization. I have devoted my entire career to the practice of journalism and public relations, proudly as an award winning television, radio and newspaper reporter and editor, and now as an award winning public relations executive and the owner of Greater Cincinnati’s largest public relations firm. At The Eisen Agency, we believe that solid media relations tactics are an important piece of a good public relations initiative, and if you choose to “try it yourself,” we offer this guide to provide you with some tools to help you more professionally and effectively share your story. PR & ADVERTISING: COMPLEMENTING SUCCESS We’ve seen many well intentioned professionals walk through the doors of our agency with the perception that public relations is “free” advertising. What many still don’t realize is that while good publicity is “earned” rather than “paid,” there is certainly an investment of time. The amount of time utilized or wasted stems from a quality story, shared to the right media professional at the right time. Public relations and advertising are truly apples and oranges, but used together, can create a powerful punch. And oh how that investment of time in a good public relations campaign can pay off, as typically a feature or endorsement in the media is viewed with much more impact than advertising, according to the vast majority of consumers. PR has staying power, and can be leveraged in a myriad of ways and actually be used in leading the creative process of good paid advertising. Credibility is a powerful word in marketing communications. But, unlike it’s paid companion, while good public relations professionals make attempts to “control” the media, do understand that at its core, PR is a relatively uncontrollable medium. The media have a job to do, and rarely is that job shameless plugging of your product, people or service – so always work to be fair, honest and a valuable resource for good and maybe not so good stories. It’s important to plan for unintended outcomes, and remember not to get too high or too low in a long term public relations effort. And on that note, let this serve as notice that your company’s media placement will most likely not be achieved by a single phone call. Good public relations is ongoing. It is not an event, but rather a process. Think of public relations almost as a form of courtship. Rarely has a person ever gone on a first date and had their newfound companion profess his or her feelings of undying love and affection. Similarly, a PR practitioner has about the same odds of hearing “I’ve been waiting for this story all day!” on the first call, no matter how great his or her story may be. Be politely persistent and know when you’re honestly pushing a good story, rather than something relatively unimportant. Successful public relations work is based on developing long term, meaningful relationships with the media. One last word to the wise before you begin your PR odyssey: pick up a copy of the AP style guidebook – a lifeline for PR pros and journalists alike with an A-Z index of appropriate punctuation and formatting for public relations and news writing. Remember, publicity is not an interchangeable term for PR. Don’t call publicity or media relations PR. PR (Public Relations) is the ongoing actions of relating to various publics designed to engage them in some desired form of action. A “tactic” of PR can be publicity, but it is also many things – including social media, advertising, events, promotions and so forth.

Don’t try to use publicity when in fact, you should be using an advertisement. Publicity is not, nor will it ever be, a replacement to advertising. The two are complementary, but are very different and one in no way replaces the other.

Just because you “issued” a press release doesn’t mean the press will run the story. If you want a guarantee, you need to contact the sales department at the newspaper and they’ll gladly run an advertisement for you – for a fee, of course.

A media alert can, often times, be far more effective and less time consuming than issuing a press release. Know the difference, and use your tactics to your advantage. And, always be polite when making follow up calls to the media.

MEDIA TOOLKIT Below is a list of different publicity tools at your disposal and when to use them. Examples of a release, alert and byline article are included in this resource guide. PRESS RELEASE A short announcement of a newsworthy happening to the media, most often communicated via email. Most press releases average 250 words or so and are also included in website newsrooms and media kits. MEDIA ALERT A bare bones summary of an upcoming event, speaker or press conference. Media alerts typically serve as a summons to the television media, and are typically faxed a day or two before the event. Unlike press releases, these are not intended to inspire articles, but rather to incite a broadcast television or radio appearance. BYLINE ARTICLE A long form article, usually specific to the author’s industry, discussing current challenges, issues or controversies facing the profession. These articles are most often published in trade-specific or business publications.

PITCHING 101 Most reporters prefer to be contacted via email. It’s a great method of initial contact and easy for them to skim through quickly. It also allows them the unfortunate advantage of deleting your release without getting further than the headline. This makes it imperative to begin with a clear lead and a subject header that is relevant and newsworthy, not simply ‘press release’ or something generic. Follow-up calls are generally welcomed a week or so after launching the release, but remember proper etiquette. Ask if they have a moment to chat before launching into an overview of the release, and keep all voicemail messages under 10 seconds. Most importantly, remember that PR is not pay to play. Because you may be an advertiser does not entitle you to automatic inclusion when you send over a press release.


TOP 6 QUESTIONS TO ASK YOURSELF BEFORE SENDING OUT A PRESS RELEASE 1. IS THE SUBJECT OF THE RELEASE NEWSWORTHY? Sending out a release for the sake of sending out a release is most direct route to ending up on the bad side of a journalist. Finding the news angle of a release is often the most difficult, but critical to creating a meaningful story. Ask yourself if this is a topic you would normally read in the specific publications you are pitching, and if so, would it catch your eye? 2. DID I ALLOW MYSELF ENOUGH TIME TO MAKE FOLLOW-UP CALLS? Sending out a media alert the day before an event is about as pointless as a sphere. Respect deadlines- a ‘stop the presses’ moment is highly implausible, no matter how compelling your event or story may be. Plan ahead, mark follow-up dates on your calendar and prepare a 10 second voicemail pitch. You’ll need all the follow-up time you can. 3. WILL THE PUBLICATIONS I’M TARGETING REACH MY KEY PUBLICS? A mention in the San Antonio Express isn’t going to help your bottom line goals if you are looking to expand your market locally. Chances are, if your most of your news is localized, it would be most advantageous to spend some quality time getting to know the reporters and uncovering story angles. An article in a national industry publication can be a great addition to the newsroom, but always remember to be conscious of who you are trying to sell your product or service to. 4. IS MY RELEASE CONCISE AND EASY TO READ? Reporters have no interest in reading three paragraphs into a release to discover the news nugget. Be conversational and straight to the point. Press releases aren’t supposed to be of great literary merit, just a bare bones foundation from which reporters can craft a story. They have your information if they need it (you did remember to put that in the release, didn’t you?) 5. DO I HAVE APPROVAL FROM THE ORGANIZATION INVOLVED/ QUOTED PARTIES? While the approval process can be tedious at times, it is nothing compared to the wrath of a misquoted executive. Be sure that your company or organization agrees with the representation of their brand and would be able to stand by any included statement if reached for comment. 6. IS THE EXECUTIVE QUOTED AVAILABLE AND READY FOR INTERVIEW AFTER THE RELEASE IS SENT OUT? Nothing may make the media more crazy than getting a press release and calling back to do an interview, and no one is prepared or available for comment. If you send out a release, be sure that someone is prepared and ready to do an interview, and never, ever send out a release if someone from the organization will not talk with reporters about what was sent out.

Today, the agency announces they have opened applications for the 2011 Rodger Roeser Scholarship Fund, which is designed to assist minority students entering college who are pursuing a degree in public relations, communications or journalism. The scholarship is designed to help foster the educational initiatives of local young people, and in particular, minority students before entering college, and in the hopes they’ll begin to pursue journalism and public relations as a major. The scholarship is open to all high school seniors and an application to receive the scholarship can be requested by filling in a simple request form on the agency’s website at www. Scholarship applications will be open through April 15, 2011 and will be awarded June 15, 2011. “I have the profound privilege of serving this industry in a variety of capacities, often speaking to young professionals or those getting ready to enter the profession as they learn in our colleges and universities,” Roeser explained. “But, I felt that our industry and in particular our industry leadership was not doing enough to reach out at a critical time when future decisions about career are being made – high school. Our profession can only benefit from increased diversity of both minorities as well as young men, and I am humbled that our firm is in the position that we are able to make a positive impact and begin to address this issue.” The scholarship fund is the third leg of The Eisen Agency’s continued commitment to the growth of community, small business, and future leaders. Operation: Outreach launched in 2008 has assisted dozens of non profit groups across the country. New Year’s Resolutions and Marketing Activities: Success or Failure Exactly the Same By Rodger Roeser, APR President, Eisen Marketing Group

Here it is just days after the New Year started and already those resolutions are fading away. Well intentioned efforts to lose weight, get in to better shape, quit smoking, stay more in touch with family – perhaps already things of the past. It got me thinking how similar these resolutions are with marketing and public relations. Regardless of the economy, marketing activities are not flash in the pan, quick fix options, but rather long term, sustained programs and campaigns that actually yield positive results. Experts will tell you that the reason most resolutions fail is because it involves sustained commitment and effort. Also, they are often unrealistic in nature – so folks give up altogether. Similarly, good public relations and marketing activities take time and are not a quick fix to your business ills. Finding good publicity angles, creating image and article opportunities, reaching out and sharing that company story or profile all take time, patience and stick-to-itiveness. It also takes time and effort to achieve realistic results. One push up will not make you thin or build your biceps. All too often, I see business executives simply increasing sales numbers because excel allows them to plug in a 25 percent in widget sales – for no apparent reason. It seems solid research and market realities have given way to just plugging in numbers and storming the gates. This is bad practice, and leads to frustration and a lack of business clarity and focus among the employees. Don’t be that executive who says say you want X amount of articles in the newspaper or just any other number that appears to be pulled out of thin air, and when those numbers aren’t hit, you’re disappointed. These types of business mistakes are not productive, and surely not good for morale. A good marketing executive or agency can offer much better and more realistic guidance to these types of numbers, and advise best ways to achieve those goals. And, like a good personal trainer, help keep you motivated and on track. Here are four simple steps to a successful 2010. 1. GET A PLAN! If you don’t have a marketing or marketing communications plan, get one. Do yourself and your business a favor, hire a good firm, and get a plan developed. The investment of just a few thousand dollars may be the best investment you make this entire year. The plan will have realistic goals with realistic prices. You do yourself no favors when you believe you can do a national advertising campaign for $500. A good plan will lay out strategies, tactics, timelines, goals and budgets that should be very easy to follow. The firm should be able to implement the plan with skill, or work with you to share in the implementation duties. If you don’t have a plan, this is the first and most important step you can take for your business.

2. STOP WITH THE MAGIC BULLET We all play Monday morning quarterback – and surely if you’re the coach, you likely know more about football than most. It doesn’t stop people from wanting to share their “ideas.” Same holds true for marketing – rarely are folks short on “ideas,” but recently it seems there is this great new invention that will revolutionize marketing as we know it and cause all other forms of marketing to wither and die. Social media. For some godforsaken reason, all the Monday morning marketers are jumping on the social media bandwagon and putting up any manner of information on facebook, twitter, plaxo, myspace and others – and waiting for the sales to roll in. While social media and having a good social media plan is important, it is not THE answer. It certainly can be integrated into an overall marketing plan, and blogging and tweeting and friending and updating are all smart – just be realistic and be smart about it. If I hear one more time, “we’re not going to do much marketing this year, we have a blog now” I may have to send out the Marketing Police. 3. KEEP AT IT Regardless of whether your marketing program is grand or modest, continue doing at least something. Now is a great time to purchase paid media, billboards are at great prices and public relations and direct mail is a simple, cost effective way to stay in touch and further solidify the brand. While you must be smart and you should certainly scrutinize every dollar invested, now is not the time to “stop.” I recently had a client that, for all intents and purposes, stopped their proactive marketing outreach last June. Now, they have no pipeline, no leads, and no revenue. They’re lack of consistency in their outreach has likely caused yet another business to go under. Invest wisely, be proactive, and keep at it. Again, a good agency is your best friend here. 4. CHANGE UP THE ROUTINE Just like working out, changing things up a bit can yield some quick and dramatic results. Now may be an excellent time to do something different – perhaps an event, a new sponsorship, a cause marketing initiative or a podcast. Properly positioned and integrated, new programs can attract entirely new segments of consumers or prospective business partners in a fresh way. When is the last time you wrote a thought leadership article or submitted an opinion piece? Take a look at where you may have some holes, where opportunities may exist and capitalize. Again, if you don’t know all the opportunities you may have, consult an agency. There is also a great online radio show called “That Marketing Show” that has a top marketing genius as a guest each week sharing one great tip and idea after another. By taking some simple and proactive steps, and looking into hiring an affordable yet quality expert or agency, businesses can look forward to bright 2010. Now is the time to get out there, stay focused and keep aggressive. Ideas and options are a good thing. Now, go make some waves.
