About our Program

Parent Handbook

The Parent Handbook will outline everything you need to know about your camp experience. Please review and ensure your child is aware of what is expected of them, other participants and staff. This can be found at orillia.ca/camps

Program Conduct and Goals

We aim to provide enjoyable activities in a safe and positive environment. We expect all campers to be courteous and respectful to all participants and staff; use non-offensive language at all times; support and appreciate each other; solve problems in a fair and peaceful manner; include others in activities; and play without bullying or teasing others.

Our Team

|

Our camp staff are responsible for the well-being and safety of your children at camp. Their duties include coordinating engaging activities for the campers, developing new programs, and supervising campers to make sure they are safe and happy. All camp staff go through a thorough screening process including a formal and practical interview, reference checks and vulnerable sector screening.

All staff are required to have:

• Standard First Aid & CPR-C

• High Five Principles of Health Child Development Certification

• Behaviour Management Systems Certification

Quality Supervision

Regular camp ratio is 1:10 | Kiddie Camp ratio is 1:8

Our camp ratios are also supplemented with support from responsible, trained leadership volunteers.

What to Expect at Camp

What Does a Day of Camp Look Like?

All of our camp programs offer fun and creative experience for a variety of age groups. Water play or swim days may also be available depending on the location and weather conditions. All day camps will enjoy indoor and outdoor games, arts and crafts, sports and more.

If you have registered in a theme, camp staff aim to do one to two themed activities a day. However, our goal is to provide a wide range of camp activities to keep your child active and engaged all week long. Please be aware that in addition to themed activities each camper will participate in a diverse selection of activities, including active and quiet games, arts and crafts, nature-based activities and outdoor activities when space and weather permit.

Pickup Identification Protocol

Upon pick up, day camp staff will ask for photo identification in order to verify the individual who is picking up the child from camp. This is done every day regardless of if the camp staff know who you are. Please ensure you or the individual picking up the camper always has photo identification on them.

Trips

All camps with the bus symbol will be going on a trip. This includes camps located at Barnfield Point Recreation Centre on weeks 3, 6, and 9 that travel to watch the Theatre Arts Camp show on the Thursday of that week.

Lunches should be Nut Free!

Pack a litterless lunch, snacks and drinks daily. We suggest a reusable water bottle (no glass please) so children can fuel up and have the energy to go, go, go! Due to the number of nut-related allergies, peanut butter, nuts and any foods that contain nut byproducts will not be allowed at camp. Pack your lunches with care. Please note that the facilities themselves are not nut-free.

Monday is Mail Day

An email will be sent to you the week prior to your start of camp outlining a general overview of our camps and what to expect. Please make sure your email is up to date on your account to receive all communication from us! On Monday any additional information such as special themes, trips or outings will be clearly posted at the camp location’s welcome table.

Swimming Policy

All camps with the swimming symbol go swimming either at the beach or at the Orillia Recreation Centre. The Recreation, Youth, and Culture Division lifeguards and camp staff work together as a team to ensure the safety of all kids at camps when swimming at camp.

All children who are swimming at camps must perform a swim test. Ratios are determined between camp staff and guards based on the result. Kids will be permitted to swim test once per day.

Orillia Recreation Centre: Children 7-9Y who pass a swim test require a 1:8 ratio and can be in both the shallow and deep end.

Children 7-9Y who fail the swim test require a 1:6 ratio and must wear a lifejacket in the lap pool, or remain in the shallow end without a lifejacket.

Moose Beach: Children 7-9Y who pass a swim test require a 1:8 ratio and can swim freely in the water due to its shallow nature.

Children 7-9Y who fail the swim test must remain within arm’s reach of a counsellor but are not required to wear a lifejacket.

Couchiching Beach: Children 7-9Y who pass a swim test require a 1:8 ratio and can swim freely in the water. Children 7-9Y who fail the swim test require a 1:6 ratio, require lifejackets and must remain within arm’s reach.

Additional Safety Measures:

• All campers must stay within the designated camp area set out by the lifeguards.

• Buddy checks will be announced every 15 minutes, with lifeguards announcing “Buddy Check” clearly for all campers and camp staff to hear. At this time campers must exit the water immediately for a head count.

• Only one camp goes swimming at a time to ensure best possible supervision.

• All staff wear a designated pinnie to better identify themselves to campers and the public. All campers wear wristbands to ensure easy identification.

Inclusion Program

The City of Orillia strives to be a safe, fun, and welcoming place for all participants. If your child requires extra support to participate in camp, you may be able to register for our Inclusion Support Program. Through this program, a dedicated staff member called an Inclusion Facilitator will support you or your child for the duration of the week at camp. If you already have an external support person/facilitator and want them to attend a program at any of our facilities, you are welcome to do so. The support person/ facilitator will not be charged any additional fees.

Your child may require a facilitator if they:

• Have a physical, visual, hearing, developmental or intellectual disability.

• Have attention or behaviour challenges.

• Receive support or special education services at school or from a community agency.

You can find more information services that are designed for children, youth, adults or seniors living with disabilities or additional needs who would benefit from our inclusion program at orillia.ca/ inclusion

Participant Intake Form

All participants who require additional support, adaptations, or are attending a program with a City of Orillia 1:1 Inclusion Facilitator are required to fill out the Participant Intake Form prior to registration. Once the form has been completed, a supervisor will be in touch with you in regard to next steps. Please do not complete regular camp registration as it may take up a space for another camper. Due to the 1:1 nature of our support, you will not lose your spot in the programming while the form is being reviewed. The Participant Intake Form is confidential and will only be provided to the staff and/or volunteers working directly with a participant. Once received, our staff review the intake form to ensure our facilitators have the appropriate training and skills to support the participant. If for any reason the participant requires assistance outside of our scope, we work with the family to try find an alternate arrangement.

Inclusion Registration Night

Come out on April 24, 2024 from 4 to 7 p.m. to the Orillia Recreation Centre (Multi-Purpose Room) to learn more about our day camps inclusion program and register for camp.

There will be a short presentation on our inclusion program and you will be free to ask any questions you have. You will have two time slots to choose from

Presentation 1 Presentation 2

4:00 p.m. 5:30 p.m.

After each presentation, you will have the ability to register with our day camp staff programming team. An open gym with two to three staff persons will be provided during registration night in order to accommodate your child, free of charge. Please bring additional support if your child may require it during this time.

Costs and Funding

All participants have access to three weeks of inclusion support per summer. The City of Orillia provides one week with free support where you are only responsible for the cost of the day camp. Weeks 2 and 3 are an additional $370 for support.

Week 1: Free support + cost of camp

Week 2 & 3: $370 for support + cost of camp

Funding vouchers from partner agencies (New Path, Catulpa Community Support Services, Health Star, etc.) must be signed and presented at the time of registration. If the voucher does not cover the full amount of camp/inclusion fees, the remaining balance must be paid by the parents/guardian at the time of registration.

Facilitator Training

Inclusion facilitators are usually students with limited behaviour management training. It is important that families and caregivers are aware that staff are not able to provide the same level of support as educational assistants or behaviour therapists. For a list of training and needs that can and cannot be accommodated by our Inclusion Facilitators please review our Inclusion Program guide online at orillia.ca/inclusion.

Please note that there will be no inclusion offered during Week 1. Staff will be partaking in further inclusion based training the first week of camp. Inclusion staff will be available Week 2 onward.

Train to be a Camp Counsellor

Do you have a child interested in taking their camp experience to the next level? Learn the fundamentals of leadership while gaining confidence in your abilities. The second week of CIT 1 and 2 will be spent volunteering in camp. This will count towards students’ 40 hours of community involvement required to graduate high school. All CIT camps will now include swimming skills.

Step 1: Counsellor In Training 1 (13Y-16Y)

This experience will equip youth to become great leaders. This week we will focus on learning about effective leadership, teambuilding, back pocket games, songs and activities. We will spend time learning and practicing together and have many opportunities to interact with the younger campers throughout the week to put our new skills and ideas into action! We will also enjoy canoeing, kayaking, rock climbing, enhancing our swim skills, and receiving a first aid overview. By the end, CITs will have sufficient skills and knowledge to help lead a group of campers in any of our day camps. CITs will spend their second week of camp continuing to practice their newly acquired skills by volunteering at one of our camps. Camp Cost includes a t-shirt!

Step 2: Counsellor In Training 2 (13Y-16Y)

Are you ready to step up your game? This camp will activate and expand your leadership skills that built the foundation of CIT I as we continue to be involved with and lead games, songs, and activities with the other campers. You will continue to learn about child management, program planning, teaching techniques and group dynamics, while also accelerating your swim skills. A significant focus of this camp will be built around discussing our inclusion program and how to effectively work with and integrate campers with various abilities into camp programs. We will discuss strategies for behaviour management, overcoming barriers, and special need etiquette throughout the week. This week we will also be helping you get job-ready by facilitating cover letter, resume building, and interview skills workshops over the course of the week! We recommend that participants have completed CIT I prior to starting CIT II.

In this intense 1-week program you will become certified in Standard First Aid and CPR, Lifesaving Society safeguard, and be trained in High Five Principles of Healthy Child Development (PHCD). We will also dedicate time to enhancing your swim skills and fine tuning your cover letter, resume, and interview skills this week. Policy Information

In Detail

Once you have selected a program of interest, please refer to the registration details below the general description. Courses fill up quickly, so be sure to register promptly. This guide is produced by the City of Orillia Recreation, Youth, and Culture Division. Staff work hard to ensure this guide is accurate; however, due to the seasonal format, changes may occur after printing.

First Come - First Served

The best way to secure your spot is online as submission of a registration form does not guarantee a place. All registrations will be processed in the order they are received. Registrations are not confirmed until you receive a receipt. If a registration form is received by the office prior to the registration start date, it will be processed, as time allows, starting on the applicable registration date.

Non-City Resident Policy

All recreation programs have a rate for City of Orillia residents and a rate for non-residents. A non-resident is defined as anyone who does not pay taxes directly to the City of Orillia. The programs offered by the Recreation, Youth, and Culture Division are subsidized by municipal taxes, keeping the cost as low as possible for those who contribute to the municipal tax base. Thirty percent (30%) will be added to the registration costs of non-residents. The Recreation, Youth, and Culture Division reserves the right to request proof of residency.

Prorating of Program Fees

The Recreation, Youth, and Culture Division does NOT prorate fees for late registration of programs and camps.

NSF Cheques

The City of Orillia charges an administration fee of $37.00 for each NSF cheque received.

Personal Information

Personal information is collected in accordance with the Municipal Freedom of Information and Protection of Privacy Act, R.S.O. 1990, c.M. 56 under the authority of the Municipal Act 2001, S.O. 2001, c 25 and will be used by the City of Orillia Recreation, Youth, and Culture Division for the operation of recreation programs. Inquiries about the collection or use of this information should be directed to the City’s Freedom of Information Co-ordinator.

Class Postponement / Cancellations

If it is necessary to cancel a class due to inclement weather, school board cancellations, pool closures, instructor illness, etc. every attempt will be made to re-schedule the class. However, if the class cannot be re-scheduled, a pro-rated refund will be issued. The Recreation, Youth, and Culture Division reserves the right to withdraw, postpone, cancel or combine classes, to limit/increase registration or change course locations at any time. Please note that credits left on a registrant’s account will expire 24 months after the date of the original credit entry if not obtained.

Waiting Lists

Once a class/camp is filled, interested registrants will be placed on a waiting list in the order the registration is received. It is recommended to go on the waiting list as we endeavour to accommodate people by expanding the class size or creating an additional class.

Interest Charges

The City of Orillia will be implementing interest charges starting April 1, 2024, in which all accounts will be charged if they are overdue. The implementation of interest charges will serve as a deterrent for late payments and encouraging a timely settlement of accounts. To facilitate a smooth transition, we propose a phased in approach, providing ample time for our stakeholders to adjust to our new procedure.

Terms and Conditions: All services provided are invoiced and are subject to a monthly payment cycle. If payment is not received within the first month, any overdue account will be given a grace period of the first 5 days of the month before an interest rate of 2% per month will be charged daily after the first 5 days of each month until the balance is paid.

Grace Period: The City of Orillia will grant a grace period of the first 5 days each month to make payments. If payment is not received, then the interest charges of 2% per month as per above will be charged to your account.

Calculation of Interest: Interest will be based on the overdue amount with simple compounding.

Statements: Statements to all overdue accounts will be sent out monthly on the first of every month.

If Payments Are Not Made: If the client does not make payments on account, then the account will be considered in default after 120 days. At this time the permit may be cancelled without notice and the account may be sent to a collection’s agency. No further permits may be issued until the account is paid in full at which time the client may apply for permits; but for the first year of the client reapplying for a permit the full payment must be made upfront in total of the permit.
