OPINION

TAX CONSULTANTS: DO YOU STILL HAVE CLIENTS WHO DO MANUAL BILLING?

M

any businesses in India have been used to recording bills in a manual way. This continues to this date even though the country has moved on to the digital era. Considering the fact that the establishment of GST in India primarily aims to digitize the economy, must the practice of manual billing still continue? If you are a tax consultant, you might still be dealing with clients who record business transactions manually and share data in physical forms. Due to this, you have to firstly undertake the cumbersome task of digitizing the data before even engaging in activities for preparing and filing their GST returns.

Using a GST software such as Tally. ERP 9 will help your clients to record right GSTINs apart from helping record transactions easily and in a systematic way. Tally.ERP 9 alerts whenever a wrong GSTIN is entered.

1

Firstly, you have to digitize each invoice. This can become a cumbersome exercise, say for example, if your client who do manual billing is a regular dealer, then he is having mostly B2B transactions. Every B2B invoice needs to be recorded and uploaded in the GST portal.

With Tally.ERP 9, your clients will be able to share data with correct transactional entries and ease your burden. Tally.ERP 9 does not allow erroneous transactions to participate in GST return forms. Clients will be able to see all such transactions under ‘’Mismatch/Incomplete in information” and correct them before sending the data to you for filing purpose.

How will you ensure that the right amount of tax is charged on invoices? Have SGST, CGST or IGST been charged correctly by your client? How will you ensure that the right GSTIN is recorded especially in the case of B2B invoices?

3

How will you bifurcate B2B invoices from B2C invoices? The B2B invoices need to be uploaded transaction-wise, and B2C invoices have to be provided in terms of their consolidated value for filing GST returns.

4

As dates for GSTR-3B and GSTR1 filing are different for the same period, how will you ensure the same information gets referred to, since chances of errors are high in manually recorded transactions.

5

6 DIGITAL TERMINAL I 01-15 FEBRUARY 2018

Why tax consultants should recommend their clients to use GST Software?

ERP 9 ensures that correct tax types (CGST, SGST, IGST, Cess) are captured in every invoice wherever applicable.

2

14

A single erroneous entry can lead to rejection of that transaction in the GST portal. Correcting errors, and uploading returns again is a hassle and time consuming.

Problems tax consultants face while processing manually recorded transactions:

1

By Tejas Goenka, Executive Director Tally Solutions

officials, it is difficult to store MS-Excel files of all your clients for every GST return. Won’t it be difficult to fetch any specific information when required?

In case of any future scrutiny by tax

2

3

You will be able to refer the correct sources of data when filing GSTR3B and GSTR-1, if your client uses Tally. ERP 9. Also, you can easily maintain this information and be ready for any tax related enquiries. This will also help in keeping the books updated.

4

It becomes convenient to check client’s data before filing returns, as client is sharing Tally data with you.

5

It is time to adopt to the digital era! We recommend that you educate and guide your clients who is billing manually, to choose a software that makes it convenient for both of you to achieve GST compliance and file GST returns correctly. Correctly filed GST returns means right credit and happier customers for your clients.

Strava is one such app, freely available for download and can connect to most of the Fitness Tracking devices like Fitbit, Amaz-fit etc. Very recently, Strava in order to up the ante released a heat-map comprising of almost a billion activities with over 13 trillion GPS Points. The engineers at Strava went to great lengths to anonymize the heat-maps, excluded points such as driving route points based on velocity, stationary points, GPS corrections etc. Furthermore, private areas as designated by the users in their profile were also excluded along with the profiles who had opted to keep their data private were also excluded from the heat-map. Private areas are also known geo-fencing, wherein the user selects a geographical area and the application processes the data points within that particular area as per its designated functionality and is kept private. However, it is to be noted that, nevertheless the data points are stored on the server for providing various services as mentioned by the Fitness Tracker. Strava allows users to ensure that their GPS activity is kept private but due to the fact that it allows users to provide their username / nickname, the accounts at as anonymous as you configure it.

India and Fitness Tracking Indians have adopted this technology at a very large scale. The heat-map is highly informative and on a larger scale it lights 16

up India, showing all the high density routes with the highest concentration of fitness tracking activity is within the cities. eScan believes that National Security of a country is not limited to those serving the armed forces but also extends to those who provide support services. Furthermore, the adoption of civilian technology should be limited and heavily monitored. Years ago when Google came out with Google Maps, Defense sector was the hit hardest, as their prime objective of putting up barricades and restricting physical access of civilians to Military restricted zones fell flat on its face. Within a few years, Google was forced to pixelate the designated restricted zones. With the release of heat-maps by Strava, one facet of the truth pertaining to entity / personnel tracking has been laid bare. Although other tracking services have not released the statistics / heat-maps but it is very obvious the amount of data which can identify you, your daily routine is accessible and this data in the hands of a rogue nation / entity would spell doom to the entire security infrastructure of the country. Strava, although offers some form of anonymity to its users but according to eScan’s observation that it is the human tendency to lower their guard and as it is in numerous cases, they are totally ignorant about the technology and its illeffects. Using Strava, it is possible to upload Fake Timed-GPS routes and generate a list of people using that route segment. Based on this information, one can also view their route history from other locations. From National Defense point of view, this poses a serious threat since the personnel are always on the move. According to the analysis of the heat-map by eScan, it was quite evident that Indian Defense Establishment has implemented IT Security Guidelines for its forward bases, as all the heat-trails terminate at the check-point. The heat-map of the trails has also revealed the routes used by patrolling teams and in some cases high travel activity along the border.

However, not all bases / defense establishments have restricted the usage of Civilian GPS Fitness Trackers and the heat-trails clearly show the heavily used travel routes.

The Threat is real Be it a fitness or a rogue smart-phone app, these apps store the information their servers and the data can be analyzed for a variety of purposes there is also a possibility of profiling, deriving the co-relationship between two or more entities. Furthermore, data breach at these organizations would be highly lucrative for the hackers and state actors alike. In 2017 we have seen umpteen numbers of data breaches, involving Financial Institutions and due to the fact that the stolen information had financial repercussions these incidents were highlighted. However, whenever there has been an incident involving malware with the capability of tracking, the impact has been dismal. With the release of Fitness Tracking Heat-Map, it is perceived that there would be stricter measures to restrict non-approved GPS Devices / Apps, furthermore the startling insights provided by this heat-map is a bleak reminder that Strava is just one of the numerous organizations which store the highly sensitive GPS Tracking Data. Furthermore, organizations storing GPSTracking Data should implement stricter data access controls and conduct regular security audits of their infrastructure.

eScan Advisory • Audit / Restrict usage of Civilian GPSenabled Devices • Dis-allow usage of GPS - Tracking in Smartphones • Impart training on locking down / Securing social media accounts. GPSTracking by social media is highly prevalent and accounts needs to be configured so as to disable this feature • Policy for usage of such devices to be enforced for active duty personnel and should not be restricted to specific locations • Complete ban on usage of non-approved GPS-Tracking Devices for Forward Bases

One Out of Three Feature Phone Users in India Intend to Purchase Data Enabled Phone One out of three mobile phone consumers are willing to spend more than their planned budget and more than half ready to spend between $100 to $200 on a new smartphone. This reflects the attractiveness of this mass segment which contributes almost half of the India smartphone market.

A

ccording to International Data Corporation (IDC)’s Smartphone Consumer PULSE research study on the mobile phone consumer trends in India, one out of three of the feature phone users would like to buy a data enabled phone in the next one year.

With the availability of affordable mobile data; the featurephone users are getting more aware of the different use cases of the internet and want to experience it. However, affordability of the mobile devices in terms of upfront purchase cost remains a strong barrier for the much needed migration of these featurephone users to smartphones. With the launch of 4G FeaturePhones by Jio and several other brands, the industry is trying to bridge this affordability gap by providing telco bundled value to this large feature phone user base, with one out of two feature phone consumers showing strong intent to buy a 4G featurephone in next 6 months. IDC India Smartphone PULSE is an extensive smartphone end consumer facing research program covering 10 major cities of India. It gives detailed insights on the purchase process helping in understanding the consumer buying habits for smartphones and featurephones in India.

One out of three mobile phone consumers are willing to spend more than their planned budget and more than half ready to spend between $100 to $200 on a new smartphone. This reflects the attractiveness of this mass segment which contributes almost half of the India smartphone market. and is dominated by brands like Xiaomi, Samsung and Motorola. The availability of consumer offers like zero cost EMIs, easy exchange programs at both offline retail stores and online are additional incentives for customers to spend more. Brand remains one of the major decision factors while replacing their old smartphone, with almost 40% of the consumers of Samsung and Xiaomi staying brand loyal in their next smartphone purchase. Major replacement driver for a smartphone user is broken or lost smartphone for almost half of the respondents. This was followed by need to get a new phone with better specifications and technology like higher RAM, better camera, more memory. According to Himanshu Jain, Market Analyst, IDC India “Word of mouth and recommendation by family and friends continue to be the most prominent factors influencing the smartphone consumer’s purchase decision. In Tier 1 cities like Delhi, Mumbai & Bengaluru, specifications and brand value are other key drivers of choice of a brand, whereas in Tier 2&3 cities, apart from price, consumers also prefer design and good after sales service.” Retailer or promoter push is the most prominent factors for choosing the brand and model selection. With 25 to 30 smartphone launches every month on an average, it gets difficult for a consumer to make a choice from the variety of options. Almost half of the consumers check online portals for price comparisons and more than 70% consumers take recommendations from their family, friends & colleagues for brand & model choice. Even consumers buying online are visiting offline stores for touch and feel with 40% online consumers admitted visiting stores in their vicinity.

Channel Trends

According to Sachin Mehta, Market Analyst, IDC India “The online channel is finding appeal across consumer segments by high decibel marketing, consumer offers and multiple round of sales. Around one third of the online purchases try to get information about prices and specifications via online blogs and reviews”. In offline channel, near to home convenience plays vital role in selecting channel of purchase for more than 75% consumers who buy from offline. Retailers, especially, mom & pop stores develop relationship who in turn help consumers make brand and model decisions. Retailer discounts and offers entice ~40% of the consumers. “In offline, around half of the consumers want to pay via cash followed by zero cost EMIs. Interestingly, 3/4th of the consumers pay via cash while buying a high-end phone above $400” adds Mehta. However, consumers are willing to hold on to their smartphones for a longer period now, with more than 50% of the respondents having replaced their phones after 18 months or more. However, this is also an opportunity for new brands to capture the other 50% who are more prone to experimenting and replacing their devices more frequently.
