Tax Year in Review and 2015 Planning with Mark Soukup Just when you thought you would have a tax year where you can catch your breath and have few changes, the IRS issues several important regulations; Congress issues several important new tax laws hidden in such random bills as the “Surface Transportation and Veterans Healthy Care Choice Improvement Act of 2015,” and even the Supreme Court enters the act deciding on a couple of significant court cases with tax implications. Then, the IRS issues an FAQ and the Colorado legislature passed some new income tax credits. Now you need to keep up with all the new guidance on significant participation and the passive loss rules as they relate to the 3.8% surtax. Excel Data Analysis and Reporting Roadmap By: Will Fleenor, CPA, Ph.D., Member K2 Enterprises Let’s stop manually pushing data out of ERF systems, accounting software, and other databases into Excel and save time with these easy steps.

Step 1 – Importing Data Using Excel Queries

If you use SQL databases, Excel is also a capable SQL client. If our objective is to build a better analysis and reporting spreadsheet, then getting the data into Excel by query is a must. These live hooks, to the most recent versions of all our data, give us the ability to update the data: (1) quickly, (2) easily, (3) with low risk of error, and – if we choose - (4) automatically every time we review the report. All that time previously spent pushing the data out in Excel is no longer needed – we simply click “Refresh.” Best of all, the risk of errors is significantly reduced. To access your data in Excel, determine what application is hosting your data and what type of query it supports. Get the database administrator to grant you the right to make the queries. Once you have rights, configure Excel so it can see your database. Then pull in your data. The query feature is accessed under the Data tab.

Step 2 – Leave the Data Alone

The next common cause of errors is when users turn data into reports by inserting and deleting rows and columns, copying, cutting, and pasting, etc. Build your reports in separate sheets that point to your datasets. You can still filter your datasets, but don’t modify or delete records or fields.

Step 3 – Build and Analyze Data in Separate Sheets Using the old approach of turning the data itself into the report by

inserting rows and columns, copying and pasting, etc., was never efficient. Using the queries discussed in Step 1, we can automate the process of getting our datasets into Excel. When datasets are turned into “Tables,” you can use the table name and the field name in building a formula. For example, if you had a dataset where you had a field named “Amount” and the Table was named “Sales,” you could summarize that field with the following formula: =SUM(Sales[Amount]) Using the Table name and the field name in the formula is called “structured referencing.” It allows you to build formulas that summarize fields rather than static ranges like H3:H350. If you are building static reports (i.e. report layout does not change from period to period) that are updated periodically and are based on only one Table, the =SUMIFS() function is likely a good choice. This function allows you to summarize data by as many criteria as you would like.

Since the data is in Sage 50 (an ODBC enabled application), we can use ODBC queries, as described in Step 1, to bring each of the three trial balances into one Excel file – each as a separate Table in a separate sheet. Since the account numbering structure is the same for all three businesses, the account numbers (key field) along with the Excel Data Model can be used to consolidate the three closely held businesses. The Excel Data Model allows us to identify the related fields in the three trial balance Tables. This consolidation can be updated at any time by “Refreshing” the queries and the PivotTable. The queries can be set to “Refresh” automatically when the file is opened. How to Change Your Status to Retired with the Colorado State Board of Accountancy To change your certificate status to retired with the Colorado State Board of Accountancy you must: • Submit an application in a manner prescribed by the Board; • Be at least 55 years old; • Have held an Active certificate in good standing issued by any State for a total of at least 15 years and must have held an Active Colorado Certificate for at least 2 of those years; and • Attest to having completed 10 hours of CPE for each full quarter that the Certificate was Active during the CPE Reporting Period in which the Applicant retires. No more than 20 percent of the CPE can be in Personal Development, as defined by the Fields of Study. At least 2 hours of CPE must be in Ethics. Materials Course materials are ordered based upon the number of prepaid registrants for each course. At the first break, any extra manuals available will be distributed to walkins. Advance Preparation Most courses do not require advance preparation. In the few cases where advance preparation is recommended, it is noted in the course listing found online. Date/Location Changes and Cancellations Our goal is to have as few changes or cancellations to our course schedule as possible but, occasionally, emergencies or enrollment numbers dictate otherwise. In the event that we must reschedule, relocate, or cancel a course for which you are pre-registered, you will be notified immediately. We know how busy your travel and work schedules can be, so we guarantee you seven days’ notice (prior to the presentation date) of the cancellation of any course. Please keep this in mind when making airline reservations to avoid travel cancellation penalties. CPE courses are rarely cancelled due to poor weather conditions. However, if you are unable to attend a course due to weather, please call the member services Department immediately at 303-773-2877 or 800-5239082 so we can notify the instructor as well as assist you with finding another course to take.

Special Requests We are committed to providing exceptional service to our members and will try to honor all special requests. However, we can not guarantee them. Carpooling As part of our commitment to our members, we extend a carpooling service. Simply contact the member services department at 303-773-2877 and we will help you find someone from your area who has registered for a particular course and with whom you might share a ride. Cellular Telephones All participants who bring cellular telephones to class will need to keep them turned off. This ensures an optimum learning environment for all program participants. Individuals who need to receive calls should leave the classroom to await the call.
